A recent bill, a supplier quote and a realistic estimate of your team's time will give you a useful starting point. Here is what each tool covers.
Changing your hosting billing setup
A software subscription is only part of the cost. The hosting billing cost calculator also counts time spent on invoices, payment reminders, renewals and account corrections.
Enter the software fees and monthly admin hours for both setups, an hourly cost and any one-off migration work. The result compares monthly and first-year costs, including how long recurring savings would take to cover the move.
The VPN break-even calculator works out how many paying subscribers would cover your monthly running costs. It takes payment fees and other costs per customer out of each subscription before covering fixed costs.
Have your monthly subscription price, platform fee, server bill and support costs ready. Add your gateway's percentage and fixed payment fees. You can also check the monthly result at your expected subscriber count.
Compare the platform, apps and support available on our white-label VPN page when reviewing supplier options.
Deciding how to handle software licensing
If you sell software that needs licence checks, compare building your own license server with using a hosted service. The software licensing cost calculator includes the work after the initial build.
Enter your engineering rate, build or integration hours, hosting and service fees, and ongoing maintenance time. Choose a comparison period to see both totals. Allow time to add licence enforcement to your application whichever route you take.
Start with what you know today, then try the change you are considering. Each calculator explains its formula and includes a worked example.
01
Replace the example figures
Use your own costs and keep every amount in the same currency. The starting numbers show how the tool works; they are not supplier quotes.
02
Check what is included
Read the calculation notes before using the total. Include the costs that apply to your business, such as migration time, payment fees or ongoing maintenance.
03
Change one assumption
Try more admin hours, a different VPN price or extra development time. Calculate again to see how much that change affects the result.
04
Keep a copy to compare
Download the CSV with your inputs and results. Save a file for each scenario so you can compare them in a spreadsheet or discuss them with your team.
All three calculators are free to use, including the CSV downloads. You do not need to sign up, leave an email address or be a BillingServ customer. Enter costs from any provider you are considering.
Which currencies can I use?
Choose pounds sterling, US dollars or euros. The selector changes the currency labels; it does not convert amounts or look up exchange rates. Use one currency for every cost in a calculation.
What happens to the figures I enter?
The calculations run in your browser. Calculator usage events tell us when someone calculates a result or downloads a CSV, but those events do not include the amounts entered. Download a copy if you want to keep your figures for later.
What is in the download?
The CSV contains the currency, inputs and calculated results. Open it in your usual spreadsheet app to compare scenarios or share the estimate with a colleague. Each download reflects the figures used for that result.
How should I use the result?
Use it to compare options and check which assumptions make the biggest difference. These are estimates based on the costs you enter, with exclusions explained on each tool page. Check current supplier quotes and the features you need before choosing a setup. A lower estimated cost or a break-even target does not guarantee savings or profit.
