How it works

How we calculate billing costs

  1. Monthly cost = software cost + (admin hours × hourly rate).
  2. Current first-year cost = current monthly cost × 12.
  3. Proposed first-year cost = proposed monthly cost × 12 + migration cost.
  4. First-year saving = current first-year cost − proposed first-year cost.
  5. Payback months = migration cost ÷ monthly saving, rounded up to a whole month. If recurring costs do not fall, there is no payback from recurring savings.

Worked example

In this example, the current setup costs £350 a month and the proposed setup costs £88. After a £400 migration cost, the first-year saving is £2,744. The monthly saving covers the migration cost during month 2.

What to include in your costs

The estimate covers billing software, admin time and migration. Add any other costs that change between the two setups to the software cost inputs. It assumes the monthly costs stay the same for a year and does not include tax.

Does this calculate the price of web hosting?

This is for hosting providers comparing their billing costs. It covers billing software and customer admin, rather than the price of a hosting plan or server.

How much time does billing admin take?

Start with a normal month. Count the time spent on invoices, reminders, renewals and corrections. Estimate the new setup separately, including the work your team will still need to do.

What should I include in the migration cost?

Include data cleanup, imports, gateway setup, test invoices and training. If staff do the work, multiply their hours by an hourly cost and add that amount. Include any period when you pay for both systems.
